HostArtists integrations
Put your HostArtists schedule in Discord.
Connect a Discord server to a HostArtists club or artist profile and publish public schedules as Discord Scheduled Events. You do not need to copy a server ID or channel ID.
One connection per club
Set it up without copying IDs.
- 01A club owner or Discord server administrator clicks “Add HostArtists to Discord” and chooses the server.
- 02Approve View Channel, Send Messages, Mention @everyone, Pin Messages, Create Events, and Manage Events. The bot uses these to post, pin, and maintain schedule announcements and scheduled events.
- 03In HostArtists, open your club → Edit club → Discord and paste a normal server invite link, such as https://discord.gg/your-server.
- 04Save the connection. HostArtists identifies the server automatically; the next scheduled sync publishes released public occurrences there.
What is synced
The full public lineup.
Each released public HostArtists occurrence becomes one external Discord Scheduled Event for the connected club server. The club logo is used as the event cover, with the club cover image as a fallback.
- • DJ, Host, Live Singer, and Manager positions are represented in the event details.
- • Private profiles and private calendar information are never exposed.
- • Changes, cancellations, call-outs, and removed public occurrences are reflected on the next sync. One @everyone reminder is posted and pinned in the server’s default text channel before a show starts, then automatically unpinned when the event ends.
Already have Discord events?
No permission conflict — avoid duplicates.
You do not have to delete existing events before installing the bot. HostArtists cannot safely take over events it did not create, so it creates its own events. Remove or disable the old events if they represent the same HostArtists sets; otherwise both versions will remain visible.
For artists without a HostArtists club
Publish your external shows too.
Artists can connect a personal Discord server from Profile → Edit profile → Discord. Public external calendar shows then become Discord Scheduled Events there, including optional event artwork, a HostArtists profile link, and a valid Second Life teleport link when available. If no artwork is uploaded, the artist avatar is used when available. Your HostArtists profile must also be public. Private and busy-only calendar entries are never published.
Where events appear
Scheduled events plus timely reminders.
Discord Scheduled Events belong to the server, so no channel ID is required for the schedule itself. When reminders are enabled, HostArtists posts one @everyone reminder in the server’s system/default text channel about an hour before each event, pins it, and unpins it automatically after the event ends. The same HostArtists bot can serve many club servers; each club gets its own connection.
